Terms and Conditions – Emmanuel Tours
These Terms and Conditions govern the relationship between you (the “client”) and Emmanuel Tours, a licensed travel and tour operator based in Greece. By booking a tour, submitting a reservation, or otherwise using our services, you agree to the terms outlined below, along with any specific conditions provided in writing at the time of your booking.
When making a booking with Emmanuel Tours, you must provide accurate and complete personal details. This includes your full name as it appears on your passport, your date of birth, nationality, and any relevant medical or dietary information that may affect your participation in the tour. Your booking is considered confirmed only once we have received the required deposit or full payment and have issued a written confirmation.
You are solely responsible for ensuring that your travel documents are valid. This includes passports, visas, and any required health certifications. Emmanuel Tours cannot be held liable for denied boarding, entry issues, or disruptions resulting from missing or incorrect documents.
Tour prices include only the services listed in your confirmed itinerary. These prices are based on current exchange rates, local taxes, accommodation and transportation costs, and may be adjusted in the case of significant changes to those factors. A deposit of 40% of the total cost is usually required to secure your place. The balance is typically due 45 days before departure. Late or incomplete payments may result in the cancellation of your booking without a refund.
For bookings made more than a year in advance, we may offer flexible payment plans upon request. For private or tailor-made tours, separate payment terms may apply and will be clearly communicated during the planning process.
Tour prices do not generally include international airfare (unless specifically stated), visa fees, travel insurance, tips, or personal expenses. Optional activities not mentioned in the itinerary may also incur additional charges.
Travel insurance is strongly recommended for all travellers, and mandatory for those who require a visa to enter Greece. Your insurance should cover medical emergencies, trip cancellations, lost luggage, accidents, and emergency repatriation. Emmanuel Tours does not offer personal travel insurance and cannot be held responsible if a client fails to obtain sufficient coverage.
For multi-day tours, Emmanuel Tours is covered by professional liability insurance through Allianz, one of Europe’s largest and most reputable insurance companies. This coverage is in accordance with Greek Presidential Decree 7/2018, which implements EU Directive 2015/2302 on package travel. It ensures that in the rare event of insolvency or failure to deliver contracted services, our clients are protected by legally guaranteed safeguards. Allianz’s long-standing experience and international reputation further enhance the security and reliability of our services.
Please note that this liability insurance does not replace personal travel insurance, which remains the individual responsibility of each traveller. Even for day tours or short trips, we strongly encourage travellers to purchase appropriate travel insurance for added peace of mind.
It is the responsibility of each client to ensure they meet all entry and health requirements for their travel destination. This includes passport validity, visa regulations, and compliance with any public health measures, such as COVID-19 testing or vaccination requirements. Emmanuel Tours cannot accept responsibility for costs or disruptions arising from failure to comply with these requirements.
Accommodation provided will match the category listed in your itinerary, or a similar option if your first-choice hotel becomes unavailable. Room types are subject to local availability. Single travellers may need to pay a single room supplement, and triple rooms often include a double bed with an additional fold-out or portable bed.
Transportation is arranged using comfortable, air-conditioned vehicles appropriate for your group size. We may rotate seating and ask that all guests follow the guidance of our guides and drivers during travel.
Luggage remains your responsibility at all times. In general, one suitcase (up to 20kg) and one small carry-on item are allowed per person. Airlines and hotels each have their own luggage policies, and Emmanuel Tours is not liable for lost, damaged, or stolen bags. We recommend you avoid packing valuables in checked luggage and consider luggage insurance for additional protection.
If you need to cancel your booking, your request must be sent in writing to info@emmanueltours.gr. Our cancellation policy is as follows:
Cancellations made more than 60 days before departure receive a full refund of any deposit paid.
Cancellations between 60 and 30 days before departure forfeit the deposit.
Cancellations between 30 and 7 days prior are subject to partial refunds depending on the itinerary and group size.
Cancellations within 7 days of departure, or no-shows, are non-refundable.
For day tours or single-day activities, cancellations up to 24 hours in advance incur no fee (except for non-refundable credit card processing fees, usually 3%).
Please note that different terms may apply for cruises, long-haul packages, or custom/private tours. These will be shared at the time of booking. If you’ve booked a shared room and your travel companion cancels, you may be required to pay a single room supplement.
Emmanuel Tours reserves the right to cancel or reschedule a tour if necessary, due to reasons such as low participation, safety concerns, health risks, or force majeure (including natural disasters or strikes). In such cases, we will inform you at least 14 days prior for tours longer than 12 days, 8 days in advance for tours of 2–12 days, and 48 hours in advance for shorter tours. Clients will be offered an alternative itinerary or a full refund of the affected portion of the tour.
While we do our best to select reliable third-party providers (hotels, guides, transport services), we are not liable for their actions, omissions, or disruptions caused by them. Nor are we responsible for losses caused by unforeseeable events such as political unrest, extreme weather, border closures, or pandemics. Participation in any tour is voluntary and undertaken at your own risk. We also reserve the right to remove from a tour any participant whose behavior jeopardizes the safety or comfort of others. In such cases, no refunds will be issued and any extra costs must be paid by the individual.
All personal information you provide is handled in accordance with the General Data Protection Regulation (GDPR). By booking with Emmanuel Tours, you consent to us collecting and processing your data—including name, contact details, and travel preferences—for the purpose of delivering travel services. All content on our website, promotional material, and itineraries—including images, descriptions, and branding—is the intellectual property of Emmanuel Tours or our content providers. It may not be reproduced, copied, or distributed without prior written consent.
In the unlikely event of a dispute, we first encourage both parties to seek a mutual resolution. If this is not possible, clients may submit the matter to the Friendly Dispute Resolution Committee of the Hellenic Association of Travel and Tourist Agencies (HATTA). If no agreement is reached, disputes will fall under the jurisdiction of the Courts of Athens, Greece, and be governed by Greek law.
